A depot's page (for example /warehouses/WH-ON-T) shows the depot's day: what picks up and leaves today, what the depot holds, and a scan station to check packages in. Anyone with read access to depots can open it. The Receive / scan tab needs write access to depots or to orders (Admin, Operations Manager, Dispatcher and Warehouse Manager by default). Vehicles needs read access to the fleet and Drivers read access to drivers. Open a depot from the Depots list or from Start depot on a route.

For the everyday steps, see Run the depot day and scan station.

The tab you pick stays in the address (?tab=scan), so a scanner station can bookmark the scan tab.

Receive / scan

The scan station checks packages in. The box is ready as soon as the tab opens, so a handheld (keyboard) scanner works without touching the screen.

FieldWhat to enterRequired
Order or package codeScan the label barcode (our label or the shipper's own label) or type the order number.Yes
Temp. °C (optional)The reading for temperature-controlled goods, for example 4.5.No

Press Enter or click Receive. A high beep means it worked; a low beep means look at the screen. The result box shows:

ResultMeaning
Ready to scanNothing scanned yet.
ReceivedChecked in. The box shows the order, customer and delivery address, then the route and stop to sort it to (for example RT-2026-0042 · stop 4 · VAN-014) or Not on a route yet.
Received from another depotChecked in here although it belongs to another depot (cross-dock).
Already receivedThis package was already scanned here today.
Wrong depotIt hasn't been collected yet and belongs to another depot: take it there.
Not recognisedUnknown code ("Check the label or type the order number"), or the order can't be received (for example it is cancelled, delivered, or the driver is still at the stop). The reason is shown.

For orders with several packages the result counts them (for example 2 of 3 packages). Reprint label opens the order's labels as a PDF, one per package.

What a scan changes:

  • Goods that were collected, failed, recalled or dropped off move into the depot's care (the order becomes At depot, or stays On hold and is held here) and show under In this depot's care.
  • An order still waiting at its own pickup depot only gets a "Received at depot" line on its timeline and Received under its route in Orders picking up here today on the Today tab; its status doesn't change.
  • Each package counts once a day.

This session lists your scans with their result until you leave the page ("… received · … scans").

Good to know

  • A depot has no capacity of its own: Load on routes compares with the vehicles based here. Add vehicles or set their home depot in Fleet.
  • Loading a route (one sign-off for the whole van) is done on the route page with Confirm load. See Route page.
  • Depot not found with Back to depots shows for a wrong or deleted code.
