Driver schedule

Every part of the weekly Driver schedule — the week picker, the roster grid, planned versus worked hours, the shift dialog, hour-limit warnings, Copy last week and Publish.

The Driver schedule plans who works when, one week at a time. Drivers see published shifts under Upcoming shifts in the app and get a notification. Open it with Schedule on the Drivers page. Anyone who can view drivers can look; planning and publishing need permission to edit drivers.

At a glance

AreaWhat it shows / does
HeaderCopy last week and Publish n drafts (or All published)
Week barPrevious week, Next week, This week, the dates shown, and the Draft / Published legend
Roster gridOne row per driver, one column per day (Monday to Sunday), and Planned / worked
Shift dialogPlan, change or remove one shift

The week you look at is kept in the link (?week=2026-10-05).

The week bar

  • The arrows move one week back or forward; This week jumps back to the current week.
  • The date range shows the Monday to Sunday you are planning. Today's column heading is highlighted.
  • Draft shifts have a dashed outline; Published shifts are filled.

The roster grid

ColumnWhat it shows
DriverThe driver's name (links to their page) and home depot, or No depot
Each dayThe planned shifts: start and end time, the vehicle when one is set, and a warning line (Over the hour limit or n hour-limit warnings)
Planned / workedHours planned this week / hours the driver actually worked (from the time clock). An over badge shows when worked hours beat the plan by more than an hour.

Every active driver is listed (inactive and terminated drivers are not). With nobody to plan the page shows No active drivers and an Add driver button.

  • Click the + in a day to plan a shift; under an existing shift it adds another one the same day (a split shift).
  • Click a shift to change or remove it.

The shift dialog

The title is the driver and the day.

FieldWhat to enterRequiredNotes
Start, EndTimes in 15-minute stepsYesShifts can't overlap, also across midnight (a 22:00–06:00 shift blocks 02:00–05:00 the next day)
DepotA depot, or No depotNoShown to the driver with the shift
VehicleA vehicle, or No vehicleNoShown to the driver and in the grid
Note (optional)Up to 200 characters, for example "Bring the hand truck"NoThe driver sees it with the shift
  • Save shift saves it as a draft. Changing a published shift turns it back into a draft: publish again to tell the driver.
  • Remove deletes the shift after Remove shift to confirm.
  • If the shift breaks an hour limit, the warnings are listed at the top of the dialog (for example "10.5 h on 2026-10-07, over the 10 h daily limit"). Warnings never block saving.

Header actions

ButtonWhat it does
Copy last weekCopies the previous week's shifts into the week you are looking at, as drafts. A shift that would overlap one already planned (including a night shift running into that day) is skipped.
Publish n draftsPublishes every draft in this week. Each driver with a published shift gets a push notification and sees it in the app. Shows All published (disabled) when there is nothing to publish.

Good to know

  • Hour limits (daily and weekly) come from the payroll settings on the Payroll page; the week used for the weekly limit follows your payroll workweek.
  • The plan doesn't clock anyone in: drivers still clock in and out in the app, and the Time clock view on Drivers shows what really happened.
  • A driver can have several shifts on one day as long as they don't overlap.
