Watch: Plan a route, with or without a depot

1:49

Put the day’s orders on a vehicle, let the planner order the stops, fine-tune them, and decide whether the route ends back at the depot.

On this page

Plan route is where you build a new route: you pick orders, put the stops in order, choose the vehicle and save the route as a draft or dispatch it. It needs permission to create routes (Admin, Operations Manager and Dispatcher by default). Open it with Create route on the Route planner, with New route with these on selected orders, or with Assign route on a vehicle in Fleet (that vehicle and its home depot are then picked for you).

For the same flow as numbered steps, see Plan a route.

Plan with AI

The indigo panel with the AI mark at the top of the page, shown when AI is on for your company (your plan includes the AI assistant and it isn't paused). When AI is off the page has no AI panel at all. Describe the route in English or French, for example "TRK-208 tomorrow, urgent ones first, Laval in the morning, back by 4pm" or "Les urgents de Longueuil pour Karim demain 8 h", and click Plan with AI (or press Enter). While it works a status line reads "Finding the right orders and sequencing them with the planner…"; it usually takes 5 to 15 seconds.

The assistant picks the orders (by city, postal code prefix such as H7 or J4K, customer, priority and due day), the vehicle (by number, driver name or type), the date, the start time and any limits you gave (stops, kg or lb, back by a time). The route planner then chooses which orders fit, puts the stops in order and works out the ETAs, exactly as Optimize and the Route summary do. The proposal, labelled AI plan — review before using it, shows:

  • Understood: what the assistant read from your sentence.
  • Vehicle, Stops · load, Distance, Start → finish.
  • Why the AI chose this, with the planner's warnings (late stops, a vehicle already busy that day), and Left out with the reason for each order (another depot, over the stop limit, too heavy, doesn't fit before your time).
  • Stop order from the planner with each stop's ETA.

If your request matches two vehicles (two drivers named Marc) the AI asks which one (The AI needs one answer) and shows a button for each; if nothing matches (an unknown vehicle, no orders for that city) it says so under The AI found nothing to plan instead of guessing.

  • Use this plan copies the depot, vehicle, date, start time and stops into the planner. Nothing is saved yet: check the map, ETAs and summary below, change anything, then Save draft or Dispatch route as usual.
  • Discard throws the proposal away. After Use this plan the panel reads Plan filled in by AI — review before dispatching; Plan another starts again.
  • If the AI fails while it is on (a timeout, the monthly AI budget used up), a message says so and you build the route by hand as usual.

Unassigned orders

Lists orders that are on no route yet and can be routed, earliest delivery deadline first. Once you pick a Start depot, only orders picked up at that depot are listed. The badge counts them.

Each order shows its order number (for example ORD-2026-003037), packages, customer, delivery street, pickup → delivery times and weight. Search orders... filters by order number, customer, street or city.

  1. Tick the orders you want.
  2. Click Add selected (it shows how many). They go to the end of the Stop sequence.

If no depot is picked yet, adding orders sets the depot to the first order's pickup depot. The list shows the first 100 orders; pick a depot or search to narrow it.

MessageMeaning
No unassigned orders - "Orders ready for shipment at this depot show up here."Nothing to route from this depot.
No unassigned orders - "Every order here is on the stop sequence."You added them all.
No matchesYour search finds nothing.

Route preview and Optimize

The map shows the start depot and the numbered stops joined in driving order. The line under the title says how many stops and Returns to depot or Ends at last stop. Expand opens the map full screen. Before you add stops it says Nothing to map yet.

Optimize re-orders the stops for you. It first tries to meet every stop's delivery window (including the delivery address's receiving hours on that day), earliest deadline first, then keeps the driving distance short. It starts from the depot at the route's date and start time. It needs a start depot and at least 3 stops. Stops whose address has no map location stay at the end.

Stop sequence

Each stop shows its number, order number, customer, delivery address, delivery window (for example by 12 Oct · 17:00), the planned service minutes and weight, and an ETA chip. A red chip with min late means the stop is planned after its window closes.

  • Drag a stop by its handle, or focus the handle and use the arrow keys. The up and down arrow buttons do the same with one click.
  • × takes a stop off the route (the order stays unassigned).
  • ETAs and the summary update a moment after each change (they fade while Updating…).
  • A stop with a problem from the server shows the reason in red under it after you save.

No stops sequenced yet shows until you add orders. A route holds at most the Max stops per route set in Fleet settings (50 by default); adding more shows an error.

Assign resources

FieldWhat to enterRequiredNotes
Start depotThe depot the route leaves from.YesOnly active depots are listed. Every route needs one.
VehicleThe vehicle that drives it.To dispatchEach choice shows type, maximum load, driver and, if so, In maintenance or Out of service. Clear it with ×.
DriverRead-only.-Always the vehicle's main driver. Change opens the vehicle in Fleet (needs fleet access). After saving you can change it on the route's Driver card.
Schedule dateThe service day.YesToday or later.
Start timeWhen the vehicle leaves the depot (24-hour HH:mm).YesDefaults to 08:00.
Return to startOn: the vehicle drives back to the depot after the last stop. Off: the route ends at the last stop.-On by default. Changes distance, duration and end time.
Dispatch notesAnything the driver needs to know before leaving.NoUp to 500 characters. Shown on the route page's Dispatch notes card, printed at the top of the run sheet, and shown to the driver under Notes from dispatch on every order still to do on the route.

Route summary and capacity

ItemWhat it shows
StopsNumber of stops.
DistanceDepot → stops (→ depot when returning).
DurationDriving time plus the service time at each stop.
Estimated endStart time + duration.
Packages, WeightTotals of the orders on the route.
Capacity usedWeight against the vehicle's maximum load, with a bar (of 1,200 kg). No vehicle until you pick one.

Weight is always checked against the vehicle. Cargo volume and pallet places are also checked when Check cargo volume / Check pallet places are on in Fleet settings. Service minutes per stop come from the same page (a customer, address or vehicle class can have its own).

Warnings and errors

BoxMeaningWhat to do
Stops from another depotAn order picks up at a different depot than the Start depot.Click Remove it / Remove them, or change the depot.
Heads upWarnings from the route check: order already on another route, held by a network driver, a multi-stop job, picks up elsewhere, no map location, planned after its window, over capacity, vehicle without a driver, vehicle in maintenance or out of service, vehicle already on another route that day, more stops than allowed.Fix what you can. Warnings do not block a draft.
Couldn't calculate the routeThe preview failed.Click Retry.
The route couldn't be savedThe server refused the save.Read the reason; field and stop errors also show next to the field or stop.

Saving

ButtonWhat it needsWhat happens
Save draftStart depot, date and start time. The route is saved as Draft and its page opens. If you picked a vehicle, it must carry the load and be free that day.
Dispatch routeAlso at least one stop and a vehicle. The route is checked as for Mark ready: vehicle in service, with an available driver, enough capacity, not already on a ready or running route that day. If the date is today, the driver is sent out at once; for a later date the route is saved as Ready to dispatch on the day. If dispatching fails, the route is still saved as Ready and the reason is shown.

Both open the new route's page. Nothing is saved until you click one of them. Cancel leaves without saving; with fields changed or stops added it first asks Discard unsaved changes? (Keep editing / Discard changes).

Good to know

  • Orders that can't go on a route: orders already on another route, multi-stop jobs, direct jobs with no depot, orders at another depot, orders that used all their delivery attempts, orders in another driver's vehicle and orders whose delivery address has no map location. See Routes with or without a depot.
  • The route's name (for example "Last-mile Route 1007") comes from the vehicle; without a vehicle it is "Unassigned Route".
  • What each status means: Route and stop statuses.
